Frequently Asked Question
Transaction Type Order [O]
Orders [Open Order]
Orders [Open Order] allow the user to print a copy of the sold items in a document. The transaction type will be Order. Following the initial sale, the customer may purchase additional items on another order. This process can be repeated as many times as required.
Orders [Open Order] update inventory immediately upon creation. This option is controlled by setting the UPDATE ORDER INVENTORY field to [Y] under 9. SYSTEM UTILITIES → 4. SALES DESK → 2. PARAMETERS FILE RESET (Screen 4).
Item quantities can be changed and lines can be deleted.
This feature is useful when the customer requires a separate document for each order. An Open Order does not require a PO, depending on the customer’s account setup. However, if the customer’s Account Control flag is set to ‘P’, a PO is required for every order.
Open Order activity is recorded in Cardex, including the date, time, activity, document number, quantity, and customer number. Since items can be added to an Open Order on different dates, the date and time recorded in Cardex for each item reflect when that item was added, rather than the date and time the Open Order was initially created.
The Open Order can be finalized at a later date. Once invoiced, the document number will be updated to reflect the final invoice number. However, the original transaction history in Cardex will continue to identify the transaction as an Open Order, even after invoicing, if it was initially created as an Open Order.
Example below.
Open order 2692 was created on 2026/10/18 .
Customer with open orders will prompt the user “O present: view [O/N]?” N
N is the default option. To view an Open Order, enter O to display the Open Transaction Listing screen. Press [ENTER] from the PO Number field to proceed.
The options are displayed at the bottom of the screen. Selecting E[xit] or Q[uit] returns the user to the invoicing screen. Entering the Line # opens the corresponding Open Order.
At this point, the user can finalize the Open Order by converting it to an invoice or add more items to the existing Open Order.
Pressing [F1] at this stage prompts the user to select either Invoice or Reprint.
The Tape option prints the document on the small receipt printer.
Selecting (I)nvoice moves the cursor to the Clerk field. Pressing [ENTER] then proceeds to payment processing, and invoice number 2323533 is assigned.
Once the Open Order is finalized, the document number in Cardex is updated to reflect the final invoice number, 2323533.
