How Do I Create a Picking Ticket (Z Slip)?

Enabling Picking Tickets

The purpose of a picking ticket [z] is to allow for a single invoice to be produced for a series of documents, thereby providing the ability to print in excess of 48 lines, as on a standard form. In addition, the system ties a series of Pick Tickets to a customer’s Purchase Order Number, providing the ability to produce a single invoice for a customer project or job number.

The 9. SYSTEM UTILITIES > 4. Sales desk > 2. parameters file RESET (screen 1) field called allow pick tickets must be set to [y] before the full functionality is available to the user.

As a Purchase Order is required for picking tickets, it is also suggested to activate the PO Required option on customers who will be utilizing picking tickets.

Creating Picking Tickets

Generating a picking ticket works very much like a regular invoice transaction. You first enter the customer number, key in a PO (this is a required step of a picking ticket) and your clerk and begin adding parts. The key with a picking ticket is that the PO does not need to be the final PO number and can be a simple 'holding' number, such as the current month or week.

If the customer already has picking tickets active, you will be presented with a screen of their current picking tickets, but given the option to press F2 and begin generating a new picking ticket

When in the invoice screen, you have 2 options to generate a picking ticket. The first would be to press the F4 key from Line 1 and modify the Transaction Type field to a Z. The second would be to complete the transaction and, when the "Header, Line, Footer" message shows, you can press Shift/F10 to convert the transaction into a picking slip. The Fkey icons along the bottom of the screen will also show this option as available

You will now have a new picking ticket available for this customer, which will show the next time an invoicing session is started for the customer.

A PO# is required for each [z] slip entered. Once a [z] slip is on file, subsequent sales are assumed to be [z] slips as well. Once the customer number is entered, the information window located at the bottom left of the screen will display all the existing [z] slips, grouped by PO reference number. The user may select one to add to, or press [F2] to either assign a new PO # for a new [z] slip, or a different type of transaction. Each Pick Ticket will be printed when it is created and will include only the items added at that time.

These are closed from the Customer Number field with the use of SHIFT/F2. Either press [enter] for a list of all customers associated with [z] slips, or key in the specific customer number. The user may then select PO reference # to be billed. The final invoice shows a summary total for each Pick Ticket as well as the normal Invoice Total. Inventory is relieved when the Pick Ticket is created.

Adding To Picking Tickets

When you enter the invoice, if the customer already has picking tickets active, you will be presented with a screen of their current picking tickets, with the most current picking ticket showing in line 1

Here, you select the line number of the picking ticket you want to add to and a new transaction will be started, placing you in the PO field, with the current PO number pre-populated

From this point, simply add the items to the transaction and finalize it as you would a regular sale. The picking ticket will then be added to the list of transactions associated with the PO.

Recalling & Inquiring on Picking Tickets

When in the invoice screen, you can inquire on picking tickets by pressing Shift/F8 from the Customer Number field.

You will be asked to enter a customer number and will be presented with a listing of all open picking tickets, the total value and number of transactions.

To view the detail of any group of transactions, key in the corresponding line number. Once you do this, you will be prompted with a part number? field. This gives you the option to search for a specific number. 

Pressing Enter here while the field is empty will skip the search and bring you to a full listing of all open transactions

Keying in a specific part number will activate the search and only list picking tickets containing that part on them

Once you are presented the listing of unique transactions, you can opt to view or or reprint a transaction by keying in the corresponding line number

If you elect to (D)isplay the transaction, a secondary screen will show with the line detail

Closing Picking Tickets

Closing a picking ticket is done from within the invoicing screen as well, by pressing Shift/F2 from the Customer Number field. 

When you press Shift/F2, you will be asked to enter a customer number and will be presented with a listing of all open picking tickets, the total value and number of transactions.

This listing shows all currently open picking tickets, by reference number as well as the number of transactions included and the total value of all transactions associated with the reference number. 

To close a group of picking tickets, select the corresponding line number and press Enter. This will prompt you to enter the method of payment and, optionally, a new PO number. This is especially useful for customers who provide PO numbers after the fact. 

If changing the PO, you will be prompted to confirm the change and confirm if you wish to invoice the transactions

After accepting the transaction, your finalized invoice(s) will print, all referencing the updated PO number.
